How to set up Automatic Purchasing Suggestions

Automate your procurement process and stay on top of your inventory in a few easy steps

This Purchasing feature automatically suggests stock to be purchased based on predefined stock on hand (SOH) levels set by you. 

For example: Jenny defined her min/max levels for a particular product to be at 30 minimum and 100 maximum. Now every time that product's SOH value drops below the predefined minimum (30), the system will suggest that Jenny purchase the product at the quantity needed to return it to the predefined maximum level (100).


Prerequisites:
In order to use the feature "Automatic Purchasing Suggestions", you must have some prerequisites set up. 
  1. Products must exist within your warehouse.

  2. Products must have an opening balance in your warehouse.

  3. Products must have a MIN/MAX value set on them.

  4. Products must have "I track SOH" and "I purchase this product".

How to use the feature:
  1. Log into Spenda POS and tap on the Purchasing module.



  2. From here, click "Create a new purchase".



  3. Enter a purchase reason (E.g. "Restock") in the pop up box and toggle on the "Suggest what I need to buy" button. This will enable the automatic suggestions feature. A blue button will appear saying "From All Suppliers", you can either leave this as is if you wish to have any product from any supplier suggested.Otherwise, click on the button and select your supplier, then click “Save & Close”.





  4. On the right hand side, the system will generate all the products that have SOH levels below your selected MIN/MAX values. The QTY will be based on the difference between the current SOH and the MAX value set. From here, you can continue your normal purchasing behaviour.
